Recognitions with changed Pre-recognition Notification (e.g. Erasmus+; changed Learning Agreement)

After the completed stay abroad, an application for recognition must be submitted. The pre-recognition notification does not yet result in recognition.

The following recognitions must be entered in an application (pre-recognition notification):

  • Compulsory and Restricted Elective Courses
  • “Splitting“ (If the course to be completed abroad comprises more ECTS than the course according to the curriculum, it is possible to use the remaining ECTS for the free elective courses.)
  • Free Elective Courses

If the Pre-recognition Notification or Learning Agreement has changed, the application for recognition must be entered into UNIGRAZonline as follows:

  1. Log in to UNIGRAZonline
  2. Click ”Recognitions/Achievement supplements“
  3. On the “Operations“ menu, click on ”New recognition“
    Select the study program for which recognition is requested.
  4. Type of Recognition “Notification (Exchange semesters)
  5. Please ignore (do not fill in) the File Number, Dean’s Office Number and Note.
  6. Educational Institution
    Selection of the foreign educational institution
  7. Enter the Date of Recognition (current date)
  8. Enter the stay abroad (“Time abroad (start)“ and „Time abroad (end)“)
  9. Save
  10. Cancel/Close
  11. Enter the course to be recognized by clicking “0/0/0
  12. On the “Operations“ menu, click “New position” and then click “Course(s) to be recognized: add
  13. Enter the data of the completed course at the foreign university (course number, course title (name), course title in English (name English), course type, semester hours, ECTS credits, examination date, grade, etc.). The course title must also be entered in English. Do not fill in the field “Topic“. The grade indicated on the original certificate must be entered (e.g. USA: A, Italy: percentages).
  14. Save and Close
  15. In the position click “is/are recognised for Uni Graz course(s) add“ and select the examination node of your curriculum in the tree and then click “Select“
  16. Select the corresponding course (course number) (see screenshot). Do NOT select the recognition object AXXXXX. Enter the current semester.
  17. Add
  18. Close
  19. Enter the grade at “Uni Graz assessment
    The grade is to be entered according to the conversion table, which is indicated on the original certificate or which can be requested from the foreign university. If credits are indicated, a conversion table in ECTS must be requested from the foreign university and enclosed with the application for recognition.
  20. Save and Close
  21. Splitting
    •  The free elective course must also be entered in the position in which the compulsory course was entered.
    •  In the position click “is/are recognised for Uni Graz course(s) add“ and select the examination node “Free Elective Courses“ (“Freie Wahlfächer”) of your curriculum in the tree and then select “Free Elective Course 1“ (“Freies Wahlfach 1“) (click “Select“)
    •  Select the corresponding course (A00.XXXXXX “Free Elective Course 1“ (“Freies Wahlfach 1”) Enter the current semester.
    •  Add
    •  Close
    •  Enter the grade at “Uni Graz assessment
       The grade is to be entered according to the conversion table, which is indicated on the original certificate or which can be requested from the foreign university. If credits are indicated, a conversion table in ECTS must be requested from the foreign university and enclosed with the application for recognition.
    •  Save and Close
  22. Free Elective Course
    •  Enter the course completed abroad as described in item 12.
    •  In the position click “is/are recognised for Uni Graz course(s) add“ and select the examination node “Free Elective Courses“ (“Freie Wahlfächer”) of your curriculum in the tree and then select “Free Elective Course 1“ (“Freies Wahlfach 1“) (click “Select“)
    •  Select the corresponding course (A00.XXXXXX “Free Elective Course 1“ (“Freies Wahlfach 1”) Enter the current semester.
    •  Add
    •  Close
    •  Enter the grade at “Uni Graz assessment
       The grade is to be entered according to the conversion table, which is indicated on the original certificate or which can be requested from the foreign university. If credits are indicated, a conversion table in ECTS must be requested from the foreign university and enclosed with the application for recognition.
    •  Save and Close
  23. Verification of the entered data
    The entered positions can be opened and edited by clicking on Position (e.g. “1/0/0”). If you want to enter further courses, click “New position” on the “Operations” menu.
  24. Confirm the entry by clicking “Confirm all positions“ in the “Operations“ menu
    A correction of the entries is no longer possible for you afterwards!
  25. On the “Operations“ menu, click on “Print Request
  26. Send the list of requested recognitions and the program of the foreign university (course description, contents, etc.) to the respective expert reviewers who will check the equivalence of the positions in question.
  27. Once you have received the comments and the signatures of the expert reviewers, submit the recognition print list to the Student Services Center (sowi.anerkennung(at)uni-graz.at).
  28. Submission of the Original Documents
    The original certificates (if necessary, the ECTS and grade conversion table) must be submitted to the Student Services Center via email to sowi.anerkennung(at)uni-graz.at in order to begin processing the recognition request. Then the official notification will be created and signed by the Curricula Committee Chair.
